POSITION TITLE: OFFICE ASSISTANT IV (REGIONAL)
STATUS: Full-Time | Temporary WITH Benefits (1.0 FTE)
SALARY: $3,354 per month | SR10 | BU03
LOCATION: This is a regional position that is located in the Dietary/Nutritional Services department of the Hawai’i Health Systems Corporation (HHSC) Kaua’i Region, a public benefit corporation of the State of Hawai’i. HHSC Kaua’i Region consists of Kaua’i Veterans Memorial Hospital (KVMH) and Samuel Mahelona Memorial Hospital (SMMH), both critical access hospitals; The Kaua’i Region Clinics; and its affiliates.
The Dietary/Nutritional Services department prepares and serves meals to patients/residents, inclusive of special diets; prepares meals for and operates staff dining room; provides dish washing and cleaning services; maintaining sanitation and infection control in the dietary department; maintaining food storage and control; maintains dietary records; provides staff development and education; maintains diet manual; and submits budgetary requirement for unit.
JOB FUNCTIONS: The Office Assistant IV (Regional) is responsible for performing a wide range of clerical functions where some originating and planning of work are called for. Some decision making is required because problems are often not covered by standard instructions or established techniques, systems, or procedures. There are also frequent requirements for intense work activity and information, which is restricted to specific persons, which may include information on planned changes in internal operations and policies, procedures, and contemplated personnel actions. There is regular contact with others within and outside the department in which tact is required, and the employee assumes responsibility for harmonious relationships. The position will perform moderately complex to highly complex clerical functions in product ordering, records management and data input services, as well as, relief cashiering duties for the department. The position will maintain payroll records assuring that time sheets are appropriately completed, assists the department with clerical tasks and record keeping and performs other duties as assigned. The position will also assist with the organization’s catering services program. The Office Assistant IV (Regional) may be required to travel to and from the different facilities within the region as needed.
The Office Assistant IV (Regional) reports to the Regional Director of Nutrition and Food Services Operations (RDNFSO), position no. 109829, or its designee.
MINIMUM QUALIFICATION REQUIREMENTS
To qualify, you must meet all of the following requirements. Please note that unless specifically indicated, the required education and experience may not be gained concurrently. In addition, qualifying work experiences are credited based on a 40-hour workweek. All applicants are required to provide evidence of all applicable education, licenses, and certifications.
Education: None required.
Licensure: Active, valid State of Hawai’i type# 3 driver’s license preferred.
Certification: None required.
Basic Experience: Six (6) months of work experience which demonstrated knowledge of English grammar, spelling, arithmetic; ability to read and understand oral and written instructions; write simply and directly and compare words and numbers quickly and accurately.
Clerical Experience: Two (2) years of work experience which involved performance of a variety of clerical tasks and demonstrated knowledge of office practices and procedures, and the ability to carry out procedures in clerical work systems, and operate various kinds of office equipment and technologies.
Supervisory Aptitude: Applicants must be able to demonstrate aptitude or potential for the performance of supervisory duties through successful completion of regular or special assignments which involve some supervisory responsibilities or aspects; by serving as a group or team leader, or in similar work in which opportunities for demonstrating supervisory capabilities exist; by completion of training courses in supervision accompanied by application of supervisory skills in work assignments; or by favorable appraisals by a supervisor indicating the possession of supervisory potential.
Keyboarding/Computer Skill Requirement: keyboarding proficiency and/or the ability to use computers and word processing and/or other software applications.
DESIRED SKILLS
Knowledge of: Correct English grammar, spelling, punctuation, word usage and arithmetic; office practices and procedures; and operation and maintenance of common office appliances and equipment; computers and software programs such Microsoft Office applications. For positions with supervisory responsibility, knowledge of the principles and practices of supervision.
Ability to: Plan and carry out a wide range of clerical functions, including various highly complex assignments; maintain an effective work pace under periodic deadlines; read and understand oral and written instructions; write simply and directly, compare words and numbers quickly and accurately; perform arithmetic computations; operate and maintain office appliances and equipment; compose routine correspondence and other similar material; understand, interpret, and apply pertinent policies, procedures, laws, rules and regulations; speak simply and directly, including occasionally speaking to groups as well as individuals; and deal with others in a tactful and polite manner; for some positions, operate an automobile and/or supervise the work of others; communicate and deal tactfully, respectfully with others; strong customer service skills; interact and communicate with hospital staff, patients, visitors, family members, physician, other health care organizations, HHSC and the community; collect and use information to make sound judgements within the scope of responsibilities; prioritize, manage, take direction, and exemplify outstanding customer service behavior; carry out a variety of standard office clerical procedures learn and apply pertinent statutory provisions, rules, instructions furnished in writing, oral, diagrammatic, or schedule form; make rapid and accurate arithmetic computations and count cash accurately.
